Below are the details needed for a qualified submission.

The mission of the Emerald City Applause Awards presented by ILEA Seattle is to provide a prestigious event platform that honors and shares the work of industry professionals. The Emerald City Applause Awards recognize professionals in the special event industry for all the events they create, plan, manage, and execute during the year. 

In consideration of the changes of 2020, we have adjusted our criteria to include virtual categories and have added a Special Recognition Nomination Form. This form allows individuals or companies to nominate their peers for special recognition of something spectacular that you witnessed in 2020. Each Special Recognition Nomination will receive a moment of special acknowledgement at the 2021 Applause Awards ceremony. 

ILEA Seattle is cautiously optimistic that under the safety guidelines and adherence to the state of Washington’s COVID 19 protocol, we will plan this event as a COVID compliant, outdoor, in-person event with an option for live stream. We are planning this event with the understanding that guidelines will dictate the final event format.

This year’s awards will be presented at a special live and virtual event on Wednesday, June 30, 2021. The venue will be determined at a later date. SUBMIT HERE 

Entrants are not required to be an ILEA Seattle member. Any members of the event/hospitality industry with a Washington address can apply. Qualifying events must have taken place between December 1, 2019 and December 31, 2020. Applications are open until May 7th by 11:59 pm. The late entry deadline allows you to enter one week later, by Friday, May 14, 2021 at 5:00 PM.

For the regular entry deadline: $100 for ILEA Members, $125 for non-members. Due by 5:00 PM on Friday, May7, 2021. LATE ENTRY: $125 for ILEA Members, $175 for non-members if received by 5:00 PM on Friday, May 14, 2021.

The ILEA Seattle Board would like to invite our members to join us in acknowledging the incredible individuals and companies that have persevered through 2020’s impact on the events industry. In addition to our traditional award categories, many that have been adjusted to include events that have pivoted to a virtual environment,
we have made additional categories available for special recognition.

A Special Recognition nomination can be submitted by anyone who feels they would like to see an industry peer recognized for their extraordinary efforts navigating the 2020. There have been 3 categories made available for nomination.

AWARDS ENTRY CATEGORIES

The below categories are those eligible for submission for the 2021 Emerald City Applause Awards. Please note that many categories have been revised to accommodate virtual events in 2020. Please refer to the “Call for Entries – Rules & Regulations” section for complete details on how to submit an entry and read through the FAQ.

Best Industry Innovation/Pivot
This category honors individuals or companies that have developed a new idea, product or process that further elevates the event industry, including ideas, products, or processes that effected events pivoting from live to virtual.  The innovation could be a new technology, method, device, a product, service or service ware item that increased the success of a singular event or events industry as a whole.

Best Creative Solution
This category honors individuals or companies that have met and overcome significant and/or unique challenges such as unusual or difficult client demands/requests, locations, logistics and/or time frames in the planning and production of an event.  Please Note: Limited budgets do not qualify as an award-worthy challenge.

Best Catered Event Live/Virtual
This award honors excellence and creativity in the use of food and/or beverage at an event through culinary planning, preparation, execution and/or presentation. No weight will be given to the size or scope of the event. The event merit will be equally based on culinary and service excellence and creativity.

Best Live/Virtual  Event Entertainment
This category recognizes the use of live entertainment, performance, or presentation to enhance and contribute to the overall theme and vision of an event. Examples of entrants include speakers, musicians, auctioneers, masters of ceremonies, interactive entertainment, and performers. This award honors excellence in any of the following categories: stage presence, showmanship, technique and skills, uniqueness, artistry, creativity, and/or audience engagement.

est Live/Virtual Designed Event
This category honors excellence in a cohesive event design to achieve the goals of the event. Design/Décor elements includes, but are not limited to; theme décor, linen selection, props, and scenery and/or display design, floral design and balloon artistry.

Best Live/Virtual Event Support Services
This category honors excellence in event support services. Eligible entrants include but are not limited to, component of the event such as tenting, transportation, rentals, linens, furniture and/or other support services. 

Best Technical Production
This category honors excellence in special event technical production, design or execution services. Eligible items include, but are not limited to, audio visual, multi-media, sound, lighting, special effects, video mapping, staging and rigging.


Best Live /Virtual Meeting or Conference
Entrants in this category should display excellence in the area of meetings and conferences, such as educational or information sharing gatherings for shared interest groups, industries, universities, societies, corporations, or non-profits. Eligible entrants include event planning professionals, producers, vendors, facilities or venues. 

Best Live /Virtual Public Event
This category honors excellence in planning and implementing events that are attended by the general public. Events in this category may include, but are not limited to, street fairs, festivals, tradeshows, concerts, and sporting events.

est Photography
This category honors excellence in event photography by capturing the essence of the event through visual medium – photography. Award worthy submissions exhibit excellence in any of the following categories: impact, creativity, style, composition, print presentation, center of interest, lighting, subject matter, technical excellence or storytelling.

Consists of content that captures the essence of the event and helps tell the story of the event to the judges.

File may not exceed 25 Mb

**Special instructions: For this category, entries are allowed to reveal client/company name, and utilize event and organizational name and branding. This is not a requirement of entry. Client/company approval is the responsibility of the entrant and should be arranged in advance of entry submission.

Best Videography

This category honors excellence in event videography by capturing the essence of the event through visual medium – videography, live event streaming, for event experience or post-event. Award worthy submissions exhibit excellence in any of the following categories: impact, creativity, style, composition, center of interest, lighting, subject matter, technical excellence or storytelling.

Multimedia Collateral (REQUIRED FOR THIS CATEGORY):

Consists of content that captures the essence of the event and helps tell the story of the event to the judges.

Collateral must be uploaded as a video file or PowerPoint presentation. This upload is required for Best

Event Filmmaking Entries.

Accepted file types include: .mov, .wmv, ppt.

File may not exceed 25 Mb

Limit: 1, no longer than 10-minute video/PowerPoint File per entry.

Note: Video files must be presented in .MOV format and of a reasonable file size

est Event Marketing

This award honors creativity and effectiveness in event marketing and its strategy and design. Entries will be judged on the creative use of event and (where appropriate) organizational brands, and success of strategies used to promote an event, which may include: Design/packaging elements include brand, promotional collateral, or web presence. Implementation and cohesiveness of the marketing strategy, which may include but is not limited to, the use of advertising, social media, online and/or experiential marketing.

MARKETING CONCEPT: Describe the marketing strategy including all creative elements. Explain how the collateral is integrated into the overall event.

**Special instructions: For this category, entries are allowed to reveal client/company name, and utilize event and organizational name and branding. This is not a requirement of entry. Client/company approval is the responsibility of the entrant and should be arranged in advance of entry submission.

**NOTE: It is assumed all client approvals needed for event and organizational branding elements included in selected marketing images have been pre-arranged by entrant in advance of submission.

Best Team Effort

This award recognizes a team effort for an entire event or portion of an event. This category requires three or more companies/organizations and at least one ILEA member to be eligible. The team leader is responsible for the entry submission and full payment.  Please note: In this entry, the participants must be only referred to as caterer, decorator, florist, etc. (or similar descriptions that eliminate specific names).

MEMBER PARTICIPATION: Each team member (including the Primary Entrant) should write a description of their role and contribution to the success of the event.

SUCCESS: The Primary Entrant should explain how the team worked together to accomplish the client’s goals and objectives for the event.

 
BUDGET SPECIFIC: These categories require you to choose a budget level and to upload the supporting budget documentation. For these categories, a budget MUST be uploaded, or the entry will be disqualified.

est Live /Virtual Non-Profit Event

This category honors excellence in non-profit eventsThis category may include fundraising events such as galas, auctions, luncheons/breakfasts or runs/walks. Other events planned for non-profits such as donor cultivation/stewardship events, visibility or milestone events (such as campaign events, kick-offs, or anniversaries) are also eligible.

est Live /Virtual Social Event (Non-Wedding)
This category honors excellence in social event planning. Eligible entrants include social event planning professionals and other entities that provide these types of social event planning services. Events in this category include, but are not limited to, bar/bat mitzvahs, personal celebrations, holiday parties, Milestone birthdays i.e. Sweet 16, 40, 50 etc.  Please note: Weddings are not eligible in this category; see Best Wedding Category.

est Live /Virtual Corporate Event
This category honors excellence in corporate event planning. Eligible entrants include corporate event planning professionals, facility or venue managers, producers and managers of events for corporations.  Events in this category may include, but are not limited to, company celebrations, employee or client appreciation events, grand openings, product launches, training sessions, sales events.

Best Wedding Event 
This category honors excellence in weddings and wedding related events. Eligible entrants include wedding planners, catering sales manages, venue managers. Submissions in this category should have a major role in the final outcome of the event. Events in this category are limited to weddings related events only.

Each entry needs to include the following:

VERIFICATION: Your client’s contact info. (We expect that all client’s will be asked/give permission to entry this awards program as images become property of ILEA Seattle and may be used/promoted in our digital and collateral materials).

 
SECTION 1: OVERVIEW Include a short overview of your event/activity including attendance, budget, duration, and other basic details about the event. UP TO 500 WORDS will be allowed.

SECTION 2: NARRATIVE Describe the contribution and explain the impact to the Special Events Industry

Outline your/your client’s vision, goals for the event/activity. Consider including: What did you do to meet the vision/goals of the client or event/activity? How did you use creativity in your process? What was unique about the event/activity? What did you do to manage risk, or ensure success? UP TO 5,000 WORDS will be allowed.

SECTION 3: NEEDS Describe the industry needs met by the contribution, UP TO 3,000 WORDS will be allowed. Section 3 is needed for the following categories:

BUDGET:
If entering a budget category, you must choose which budget level and then upload a budget document. All budgets submitted must be in U.S. dollars and retail (the amount the client would normally be billed, including planner’s fee or markup). Budgets must include the retail value of all items used, including donations and inventory.

 MANAGEMENT COLLATERAL: MAX OF 10 DOCUMENTS/FILES

  • Items that you would use prior to an event to execute your role
  • Please provide copies of up to 10 management tools.
  • This may include, but is not limited to production schedules, agendas, scripts, flow charts,
  • renderings/diagrams, and job descriptions.

PHOTOS/MARKETING COLLATERAL: MAX OF 20 FILES

  • Items you would use to showcase the event during and after the program.
  • Provide copies of up to 20 items that visually show the creativity of the event.

o   This may include, but is not limited to:
o   Photos/video *(videos should be no longer than 5 minutes/each)
o   Printed materials (such as invitations, signage, programs, etc.)
o   PPT (no more than 10 slides)
o   Marketing images/collateral
o   Note: Video files must be presented in .MOV format and of a reasonable file size

PUBLICITY AND PROMOTION (MARKETING IMAGES): MUST INCLUDE 2 IMAGES

  • Please upload two images from that can be used in ILEA/Applause Awards marketing.

NAMES AND LOGOS:

  • DO NOT include your name/logo or logo.
  • DO NOT include your company name or logo.
  • If the name of your venue or client is in the name of the event, alter the event name to leave out identifying details (as specified above).
  • Best Wedding Category: the first name of the bride/groom can be in the written text, the photos, and any collateral. The last name of the bride/groom should not be used at all
  • The exception to this rule is the Best Event Marketing, Best Photography and Best Videography categories where logos are necessary for marketing materials

Any entries that do not follow this rule will be DISQUALIFIED. These rules, while sometimes tedious, ensure the fairness and unbiased judging of each entry.

To ensure that the competition remains completely anonymous, NO entrant name, entrant company name or logo, may appear in your entry on the Entry Questions, Entry Collateral Entry Budget tabs. Violating this rule will result in an entry being disqualified. 

Exceptions: 
If an entrant is an employee of the client’s company (i.e. a corporate planner), the entrant is permitted to use their client name and/or logo. No image of the entrant or reference to the entrant as an employee is permitted.  The purpose of many special events is to emphasize a brand. And the judges don't know if the in-house event professional or an outsider creates the event. Just remember to avoid referring to yourself as an employee of the "client" company.

This category honors excellence in social event planning. Eligible entrants include social event planning professionals and other entities that provide these types of social event planning services. Events in this category include, but are not limited to, bar/bat mitzvahs, personal celebrations, holiday parties, Milestone birthdays i.e. Sweet 16, 40, 50 etc.  Please note: Weddings are not eligible in this category; see Best Wedding Category.

Why should I enter the Emerald City Applause Awards?
The Emerald City Applause Awards are designed to acknowledge the talent, creativity and successes of all event industry professionals. By entering the Emerald City Applause Awards, you are able to demonstrate the high caliber of your company and to highlight your work to other professional and potential clients. It's a clear indicator of what makes you stand apart from your competition, and an excellent promotional strategy to be able to tout that your company is “award winning!”

Who can enter the awards?
Entries for any category are open to all event industry professionals. The only caveat is that you must be a WA state business (have a company address listed in WA State). The event does not have to take place in WA State, but it has to have been planned by a/the WA state company.

In addition to ILEA members, NACE, MPI, NACE, PCMA, NDOA, WIPA, Wedding Network, WFEA and other Washington state-based event professionals are encouraged to apply. You do not need to be a member of ILEA, or any other organizations, to apply. The only caveat is that you must be a WA state business (have a company address listed in WA State). The event does not have to take place in WA State, but it has to have been planned by a/the WA state company.

What awards can I enter?
The event must have taken place between December 1, 2019 – December 31, 2020.

How many categories can I enter?
A company or individual can enter an event in more than one category. Separate Entry Forms, Documents, Referral Letter, Photos, fees and description that fits the category must be submitted with each entry.


What if I was responsible for one part of an overall event?
The categories entered must correspond directly with the work that was done.


What needs to be included?

  • Answers to the 2 – 4 questions assigned to the category
  • Budget (if applicable)
  • Collateral: Management Collateral (where applicable) and Primary/Marketing Collateral
  • Marketing Images
  • Payment

Should I make sure to keep my company’s name out of the description?
To ensure that the competition remains completely anonymous, NO entrant name, entrant company name or logo, may appear in your entry on the Entry Questions, Entry Collateral Entry Budget tabs. Violating this rule will result in an entry being disqualified. 

Exceptions: 

If an entrant is an employee of the client’s company (i.e. a corporate planner), the entrant is permitted to use their client name and/or logo. No image of the entrant or reference to the entrant as an employee is permitted.  The purpose of many special events is to emphasize a brand, the judges don't know if the in-house event professional, or an outsider, creates the event. Just remember to avoid referring to yourself as an employee of the "client" company.

What are the restrictions?

  • DO NOT include your name/logo or logo.
  • DO NOT include your company name or logo.
  • If the name of your venue or client is in the name of the event, alter the event name to leave out identifying details (as specified above).
  • Best Wedding Category: the first name of the bride/groom can be in the written text, the photos, and any collateral. The last name of the bride/groom should not be used at all
  • The exception to this rule is the Best Event Marketing category where logos are necessary for marketing materials

Any entries that do not follow this rule will be DISQUALIFIED. These rules, while sometimes tedious, ensure the fairness and unbiased judging of each entry.

Who judges the awards?

In order to maintain complete fairness in the judging, the ILEA Seattle Emerald City Applause Awards will be judged by ILEA members from another ILEA chapter, not in the Northwest Region. No local ILEA Seattle Members or event professionals are involved in the judging. All award entries must be anonymous (no mention of company name, facility, client or vendors are allowed in the entries).

What are the entries judged on?

  • How well the event met its objectives
  • Originality and creativity of the event, product, or service
  • Execution of the event
  • Integration of support collateral materials
  • The quality of the event, attention to detail, and concept
  • Any challenges that were presented and overcome

We recommend you first answer the entry questions in a word document and gather your supporting documents before you start the form. Then, copy and paste into the form. What is the deadline to enter?
The regular entry deadline is Friday, May 7, 2021 at 5:00 PM. The late entry deadline allows you to enter one week later, by Friday, May 14, 2021 at 5:00 PM.

How much does it cost to enter?
For the regular entry deadline: $100 for ILEA Members, $125 for non-members. Due by 5:00 PM on Friday, May7, 2021. LATE ENTRY: $125 for ILEA Members, $175 for non-members if received by 5:00 PM on Friday, May 14, 2021.

Please Note: The billing address that you list must MATCH the billing address on file with the credit card company or your payment will be denied. All payments are processed securely through Square and the system will auto-generate a receipt to you via email. 

When will nominees be notified?
Nominees will be announced on or around Friday, June 11, 2021. All nominees will be provided with a digital “nominee” emblem to utilize in promotion.
